Confidential Human Resources Assistant - A/B
The Confidential Human Resources Assistant reports to a Division Director or Vice President and is responsible for independently performing confidential and complex administrative and secretarial duties. May supervise support staff that performs administrative tasks within the Department or Division. Performs and/or supervises assigned staff who perform secretarial and/or administrative work such as; composes and/or edits correspondence, records management; typing and word processing of correspondence; preparing reports and spreadsheets; and reproducing materials. Performs other related tasks.
Duties and Responsibilities:
Correspondence:
* Composes and edits routine correspondence for review by Vice President or Senior Director for approval and signature accurately and timely
* Maintains a uniformed correspondence tracking system to ensure timely reply to all correspondence
* Prepares and maintains word processing reports, letters, and spreadsheets; copies and reproduces when required
* May attend meetings to take dictation and prepare minutes; assembles materials and arranges for recordings of meetings and conference proceedings
* Disseminates information and provides ongoing communication on personnel matters with department staff as needed
* Maintains open and positive relationships through verbal and written contacts and materials
* Works with HR staff on set-up of equipment and office supplies for HR hires
Coordination and Liaison:
* Callers and visitors are treated courteously and professionally
* Work schedule is maintained in an accurate and complete fashion reflecting planning
* Telephones are answered timely with effective interpersonal skills utilized in communicating clearly with staff and external persons
* Follow-up on pending issues is performed in a timely manner
* Prepares, and maintains tracking systems to monitor and follow-up on confidential labor relations, collective bargaining, personnel information as well as confidential audit reviews regarding salary administration, payroll, pension and benefit processing, contractor and consultant payments
Administrative Projects:
* Continuously evaluates Department and Division's administrative procedures to ensure compliance with Authority's regulations
* Creates, maintains and modifies human resources data collection; prepares reports for presentation and analysis
* Performs basic research on human resources and labor relations issues; assist with analysis of compensation and benefit proposals
* Assists in the preparation of reports that are used in personnel administration, and labor relations proceedings
Teamwork:
* Provides support when needed in human resource management including recruitment, employment, benefits and labor relations
* May coordinate payroll function for temporary service employees
* May perform secretarial/clerical tasks for another Department/Division due to absence of regularly assigned employee
* May supervise secretarial and clerical/support personnel assigned to the office; plans, assigns, monitors, and evaluates work of such personnel
Record Keeping:
* Initiates and maintains physical and computerized departmental files and records for designated Vice President or Senior Director accurately, confidentially, and timely; appropriate judgment used to determine contents
* Assists in maintaining tracking systems to monitor and follow-up on confidential labor relations, collective bargaining, personnel information as well as confidential audit reviews regarding salary administration, payroll, pension and benefit processing, contractor and consultant payments
* Compiles pertinent data as needed when preparing for regulatory and compliance purpose
* Assists with audits and the purging of inactive HR records
Minimum Qualifications:
Level - A
High school or a general education diploma from an accredited program; **and**
Four years of full time experience in clerical administrative areas assisting in human resources, or comparable administrative duties; computer literacy; **or**
A satisfactory combination of education and experience.
Level - B
Associates degree from an accredited community college or junior college; **and**
Four years of full time work experience in the areas such as human resources, or comparable administrative duties; computer literacy;** or**
A satisfactory combination of education and experience.
**Weighted Consideration**: Proficient in computer applications to perform daily tasks such as Microsoft Office Suite. A practical examination in Microsoft Office Suite applications may be administered. Must be detail orientated and highly organized with ability to work independently to set priorities and multi-task. Strong customer service skills required.
